Open University customer register

Purpose of use

Management of customer relations, including:

1. monitoring and handling of enrolment information, course payments and course completions of enrolled students
2. monitoring of the registration information of registered web service users (www.helsinki.fi/avoin) and
3. address service.

The basic student information and the information on study rights and course completion are transferred to the University of Helsinki Oodi education administration system (OODI register description).

Data content

Student enrolment and payment information:

  • Course/study module information (code, name, scope, duration of study right)
  • Enrolment information (place/waiting list, date of enrolment)
  • Payment information

Basic student information

  • Name
  • Personal identification number
  • Student number in the University of Helsinki student register
  • Telephone numbers
  • Address
  • Email address
  • Profession
  • Native language
  • Nationality
  • Home municipality
  • Home country
  • General education
  • Professional education
  • Gender
  • Permission concerning information disclosure

Information on completed courses:

  • Grade of completed course/study module, date of completion, course/module approver

Information on registered web service users:

  • Name
  • Date of birth
  • Address
  • Email address
  • Telephone number (voluntary)
  • Date and time of registration as user of the Open University web service, last registration on site

Information on email newsletter subscribers:

  • Email address

Regular information sources

  • Student enrolment and basic information, as well as information on registered web service users and email newsletter subscribers, as provided by customers themselves
  • Payment information from the bank or the Open University employee who accepted the payment
  • Adjustment/amendments to information on web service users made by the user or by Open University employees
  • Other information provided by Open University employees

Regular information disclosure

Information about registered web service users or email newsletter subscribers is not disclosed.

The basic student information and information on study rights and completed courses entered in the register are stored in the University of Helsinki Oodi education administration system.

Principles of data security

Print materials:
Forms are stored in locked facilities.

Digital data:
Basic, enrolment and course completion information can only be edited by Open University employees with user rights to the registry. Registered web service users can edit their basic information. Information on the completion of online courses can also be edited by the teacher of the course or study module.

The server database and content files are protected in accordance with common practice.
